Find new receipts

Reads email that arrived since the last run (the last 30 days on the first run) and picks out receipts, invoices and order confirmations, including forwarded ones and PDF or photo attachments. It notes the vendor, date, total, currency, tax, invoice number and what it was for. Anything it can't read clearly is flagged, not guessed.

Sort and check them

Puts each receipt in one of your categories and marks it for you to check if part of it was unclear, the category is a guess, it looks like a duplicate, or the amount is over your limit or unusual for that vendor.

Google Sheets3

Log them in the sheet

Adds a row for each receipt to your Google Sheet (or creates an "Expenses" sheet), with a status of OK or Check and the reason. Exact duplicates of receipts already in the sheet are left out.

Invoice & Expense: common questions

How do I get receipts from Gmail into Google Sheets?

Connect Gmail and Google Sheets once. Every morning it finds new receipts and invoices, reads them and adds a row for each.

Does it read PDF and photo receipts?

Yes, including forwarded receipts and PDF or photo attachments. Anything it can't read clearly is flagged, not guessed.

Does it replace my bookkeeping software?

No. It keeps a clean, categorised log that you or your accountant can use.

Does it convert currencies?

No. Totals are kept per currency, exactly as they appear on your receipts.

Which receipts does it ask me about?

Anything it couldn't read clearly, a category it had to guess, likely duplicates, and amounts over the limit you set or unusual for that vendor.

Can it use my own categories?

Yes. List your categories, one per line, and it sorts every receipt into one of them.

Which apps do I need to connect?

Gmail and Google Sheets. You connect each one once, in a click, when you set the workflow up.

What can I change?

Your categories, Ask me about anything over, Google Sheet for expenses. All of them are optional.

Can I change the schedule or the steps?

Yes. Installing copies the whole workflow into your workspace as a draft, and from then on it's yours: reword any step, change the settings, and pick the schedule and time zone (it suggests daily, 7 am). Nothing runs until you run it or publish it.

Which AI model runs it?

The agent you choose when you install it. The workflow uses that agent's model, tools and memory, and you can move it to another agent later.
